Read AI: finding what was said and who owns it after a meeting

How Read AI takes a conversation from meeting to cited answer: capture, Ask Read, sharing, permissions and what each plan changes.

Our read

Start with Read AI if you need to retrieve what was said and which actions were assigned, across meetings, email and CRM. Pilot one recurring meeting on the free plan, then move to Pro if you need Notion, Salesforce or HubSpot. Choose Enterprise+ only if retention control and SSO are required.

Where to start

Treat Read AI as a retrieval layer for meetings. It joins video calls, writes transcripts, summaries and action items, and lets you query past meetings with cited answers. That is the job to judge it on: can someone who missed the call find what was said and who took the action?

A sensible first test, as an editorial suggestion rather than a vendor feature: take one recurring meeting series, let Read AI cover it on the free plan, and ask Ask Read three questions whose answers you already know. Then check whether the cited sources support each answer.

What Read AI captures

Read AI works across Google Meet, Zoom and Microsoft Teams and produces recaps, action items and highlights. Beyond the live meeting, it offers a mobile app for in-person conversations, desktop apps, a Chrome extension and an option where the agent summarizes a meeting you do not attend.

Capture is bounded by plan. Free covers 5 meeting transcripts a month and meetings up to one hour. Pro and Enterprise raise that to unlimited transcripts and four hours, and Enterprise+ to eight hours. A long workshop or an all-day review will not fit on the free plan.

Finding an answer with Ask Read

Ask Read answers questions from meetings, emails and messages. Read AI describes the use as asking what was decided, who owns it and what is still open, with citations. Anything a team member shares becomes searchable context for the whole team.

The pricing table lists unlimited enterprise search even on the free plan, but that plan transcribes only 5 meetings a month, so the searchable history stays thin until you pay or share more. Read AI's homepage also announces it as a Claude Connector, a ChatGPT App and an MCP Server.

Sharing and the tools it connects to

Action items can be routed to the tools a team already uses. The catalogue lists Google Calendar, Outlook 365, Slack, Microsoft Teams, Zoom, HubSpot, Salesforce, Asana, Confluence, Jira, Notion and Zapier.

Integrations are tiered. Free includes basic ones. Pro, at $15 per user per month billed annually, adds premium integrations: Notion, Salesforce, HubSpot, Jira, Confluence, Zapier and webhooks. Audio and video playback start at Enterprise, at $22.50 on the same billing basis.

Two teams that built on search

Candlefish, a permanent-capital company that acquires and improves established businesses, organizes meetings into shared folders by project and team. New hires get access to the folders and use enterprise search to look up topics and decisions on their own. Read AI reports 25% faster project turnaround, onboarding about 40% faster and 30% less time searching.

SmartPM's customer success team records every customer meeting and uses Ask Read across meetings, Gmail threads and HubSpot activities for each account. It keeps prompt templates per meeting type, such as implementation, training and renewal. Read AI reports 30% less executive prep time and 70% less post-meeting admin. New hires still check answers with colleagues, a habit worth copying.

The lesson from both is organizational: folders, connected mail and CRM, and standard prompts did the work, not recording alone.

Permissions and consent

Read AI states that Read announces itself at the start of a meeting and needs host approval to join. Participants can opt out at any time, and the meeting data is then deleted permanently. Reports use role-based permissions, and you can delete reports you own.

Its trust center says that through a connected platform a user can never reach data they could not already reach there. Admins can switch integrations on or off and set workspace-wide join rules: all meetings, only internal ones, or selected ones. Domain capture, SAML and SCIM, and a custom retention policy are Enterprise+ items, which requires 5 or more licenses. Data is not used to train models by default, and a data processing agreement is available.

Limits to settle before a team rollout

Read AI talks about asking what was decided, so judge it as search over what was said plus action items, not as a decision register. Two points to get in writing: the default retention period, and whether search scope differs by plan.

Read AI names HubSpot, the U.S. Chamber of Commerce and universities such as Tulane, Michigan, Spelman, Texas A&M and Colorado State on its own pages, which usedby marks OBSERVED. That shows who is publicly shown using it, not how well it works.

Method and limits

2026-10-25

This dated snapshot counts distinct companies in public customer evidence. CONFIRMED means a case study, named testimonial or press source; DECLARED means the company itself told usedby; OBSERVED means a vendor listing; SIGNAL means a job post. All four count, but their strength differs. Removed and unlevelled lines are excluded. Examples are a capped selection verified within 90 days. Vendor facts are sourced records checked within 60 days. Coverage is uneven and missing evidence is unknown. These figures measure neither market share nor product performance; capture dates are not adoption dates.

Questions

Can Read AI tell me what was decided in a meeting?

Read AI describes asking what was decided, who owns it and what is still open, with citations. Expect answers drawn from transcripts and summaries of the meetings it captured.

Does the free plan include search?

The pricing table lists unlimited enterprise search on Free, alongside 5 meeting transcripts a month and a one-hour meeting cap. Premium integrations such as Salesforce, HubSpot or Notion start at Pro.

Who controls who sees a report?

Reports use role-based permissions, and the owner can delete reports they own. Candlefish used folders and access controls to share by project and team. Higher plans add domain capture and retention policy.

Is my meeting data used to train models?

Read AI states that models are not trained on your data by default, and that a data processing agreement is available. Read the agreement itself before relying on it for regulated content.
